3PL for Walmart Canada: What Suppliers and Marketplace Sellers Need

“Selling to Walmart Canada” means two different jobs, and the right 3PL setup depends on which one you are doing. As a wholesale supplier, you ship cases and pallets to Walmart’s stores or distribution centres on Walmart’s terms. As a Walmart Marketplace seller, you ship individual customer orders from your own inventory. A 3PL that fits one can be wrong for the other, so decide which you need before you compare providers.

If you supply Walmart Canada: what your 3PL must handle

Large retailers run supplier programs with strict rules on how goods are labeled, packed, booked and delivered. Walmart publishes its own current requirements to approved suppliers, and they change, so read them directly and do not rely on a summary, including this one. What stays true across big-box retailers is the kind of work a 3PL has to do well:

  • Electronic data interchange (EDI). Purchase orders arrive electronically and your shipment details go back the same way. Your 3PL’s systems should connect to your EDI setup, or to your EDI provider, without manual re-keying.
  • Advance ship notices (ASN). The retailer expects an electronic notice describing what is in each shipment before it arrives, and the ASN must match what is on the pallet.
  • Labeling. Retail distribution centres rely on standard shipping labels such as GS1-128 (UCC-128) carton and pallet labels. A wrong or unreadable label can cause the whole delivery to be refused or fined.
  • Packing and palletizing to spec. Case packs, mixed-SKU pallets, height and weight limits and pallet configuration all follow the retailer’s routing guide.
  • Delivery windows and appointments. Missing a booked delivery window can mean a rebooking delay, and delays count against supplier performance scores.
  • On-time and in-full tracking. Retailers like Walmart measure whether orders arrive on time and complete. Ask your 3PL how it monitors both and how fast it reports an at-risk order.

Evolution Fulfillment’s B2B order fulfillment service covers routing-guide compliance, EDI and ASN, UCC-128 / GS1-128 labels, pallet configuration and delivery appointments for big-box retailers, specialty chains and independent stores. If you sell on Walmart Marketplace: what your 3PL must handle

Marketplace orders are individual customer orders with promised ship dates. The 3PL job is the same as for any online store, done reliably:

  • Inventory that syncs to the marketplace. Stock levels must update as orders ship so you do not oversell. Evolution’s published integrations include Walmart Marketplace, alongside Shopify, WooCommerce, BigCommerce, Magento, Amazon, eBay and custom platforms through an API.
  • Same-day processing. Orders received before your cutoff should ship the same day; the cutoff is set during onboarding.
  • Tracked shipping with the right service level. Choose carriers and services that meet the delivery promise you list.
  • Returns that restock fast. Returned inventory that is inspected and restocked quickly goes back on sale quickly. See returns management.

Check, too, whether Walmart offers its own fulfillment program in your marketplace and whether it fits your products. A 3PL is often the better choice when you also sell on your own site, on other marketplaces and to retailers, because one inventory pool serves every channel. Our guide to the move from DTC to wholesale explains how that changes your operation.

Other big-box retailers follow the same pattern

Retailers such as Canadian Tire, Costco and others each run their own supplier program with their own routing guide, labels and scorecards. The questions to ask a 3PL are the same: which retailer programs have you shipped to, how do you handle EDI and labels, and how do you report compliance? Always confirm the provider’s experience with the specific retailer you need, and ask for the details in writing.

Ten questions to ask any 3PL about Walmart Canada

  1. Do you handle EDI connections directly, or do I need a third-party EDI provider?
  2. How do you generate ASNs, and what checks make sure they match the physical pallet?
  3. Which label formats do you print in-house, and who checks labels before dispatch?
  4. How do you build and document pallets to a retailer’s routing guide?
  5. Who books delivery appointments, and what happens if one is missed?
  6. How do you track on-time and in-full performance, and how often do I get a report?
  7. Who pays when a deduction or fine is caused by a warehouse error, and where is that written down?
  8. Can the same inventory serve wholesale orders and marketplace or website orders?
  9. How does inventory sync with Walmart Marketplace, and how often?
  10. What is the minimum volume you work with, and how long does onboarding take?

Why location matters

Evolution Fulfillment operates from a warehouse in Delta, BC, in the Vancouver area, with Canada-wide delivery and cross-border shipping into the United States. A Western Canada location shortens inbound time for goods arriving through the Port of Vancouver and supports fast delivery in British Columbia and Alberta. For national retail programs, ask each provider how freight reaches distribution centres in other regions and what that costs.

Frequently asked questions

Do I need a 3PL to sell to Walmart Canada?

Not necessarily, but many brands use one because retail supply needs EDI, compliant labels, correct pallet building and reliable delivery appointments, which are hard to do from a small in-house team. Marketplace sellers often use a 3PL for fast, accurate pick and pack and inventory sync across channels.

What is the difference between supplying Walmart and selling on Walmart Marketplace?

Supplying Walmart means shipping cases and pallets to its stores or distribution centres under Walmart’s supplier requirements. Selling on Walmart Marketplace means shipping individual customer orders from your own inventory under marketplace seller rules. They need different warehouse capabilities.

What does a 3PL need to handle for retailer compliance?

A 3PL handling retail supply needs EDI connectivity, accurate advance ship notices, standard GS1-128 labels, pallets built to the retailer’s routing guide, booked delivery appointments and on-time, in-full tracking. Failures in any of these can lead to fines or deductions.

Does Evolution Fulfillment integrate with Walmart Marketplace?

Yes. Walmart Marketplace is among the sales channels Evolution Fulfillment integrates with, alongside Shopify, WooCommerce, BigCommerce, Magento, Amazon, eBay and custom platforms through an API.

Does Evolution Fulfillment handle B2B shipments to big-box retailers?

Yes. Its B2B order fulfillment service handles routing-guide compliance, EDI and ASN, UCC-128 / GS1-128 labels, pallet configurations and delivery appointments for big-box retailers, specialty chains and independent stores.

Where can I find Walmart Canada’s current supplier requirements?

Walmart provides its requirements to approved suppliers, including its routing and delivery expectations, and updates them from time to time. Read the current version in Walmart’s supplier resources and confirm any change with your Walmart contact before you finalize your 3PL setup.
